These Terms & Conditions explain the use of this website and the general basis on which you may enquire about services from Shaia Media Private Limited (“Shaia”, “we”, “us” or “our”), based in Thiruvananthapuram, Kerala, India. “You” means a visitor, prospective client, customer or participant.
Please read these terms before using the website or requesting our services. Browsing the website does not create a paid engagement. A service engagement requires an agreed proposal, booking confirmation or other written agreement. If a specific agreement differs from these general terms, that agreement governs the relevant service, subject to applicable law.
Enquiries & confirmations
Information on this website introduces our services; it is not a confirmed offer, reservation or guarantee of availability. Sending an enquiry does not reserve a course place, hotel, trip, event date or project slot.
Our contact form prepares an email in your own email application. You must review and send it there; the website itself does not send the enquiry. Provide accurate contact details and any requirements or deadlines. We will confirm the scope, availability and commercial terms before an engagement begins.
You must have the legal capacity and authority to enter into an agreement. Where a participant is a minor, a parent, guardian or authorised institution must arrange the appropriate consent and contracting arrangements.
Services & project scope
Our work includes media and content, digital solutions, business networking, event management, consultancy, travel and tourism support, boutique hotel management and courses through Shaia Academy.
Deliverables, milestones, responsibilities, revisions, support periods and acceptance criteria should be set out in the agreed proposal. Services or revisions outside that scope require agreement on any additional fees and timetable. Maintenance, hosting, ongoing content work, software subscriptions and third-party costs are included only where expressly stated.
Fees, taxes & payments
Fees, currency, applicable taxes, deposits, payment milestones and due dates will be stated in the quotation or booking terms. Estimates may change if your requirements change; revised costs must be agreed before additional work is undertaken.
This website does not accept payments or complete purchases. Use only payment instructions confirmed through our official contact channels. If an invoice appears incorrect, contact us promptly so it can be reviewed. Any suspension for non-payment will follow the applicable agreement and law, with notice where required.
Cancellations, changes & refunds
Ask for a cancellation, rescheduling or scope change in writing at info@shaiamedia.com. The terms disclosed and agreed for your project, course, event or booking will determine any notice period, refundable amount, completed-work charges or third-party cancellation costs.
There is no blanket “non-refundable” rule under these website terms. Cancellation charges and refund arrangements should be explained before you commit. If Shaia cannot deliver an agreed service, we will discuss the available alternative, rescheduling or refund in accordance with the agreement and applicable law. Nothing here removes a statutory right to a remedy or refund.
Your responsibilities
Provide the information, access, materials, approvals and feedback reasonably needed for the agreed work. You are responsible for the accuracy of supplied information and for having permission to use any text, photographs, logos, data or other materials you provide.
Nominate an authorised contact where appropriate, review deliverables carefully, and tell us about accessibility, dietary, travel or training requirements before confirmation. Delayed information or approvals may affect the agreed timetable. Do not send passwords, payment-card details or unnecessary sensitive information through a general enquiry.
Digital & media services
Technical specifications, supported devices, content responsibilities, testing and launch approval should be agreed for each digital project. You are responsible for checking business information, claims and permissions in content you approve for publication.
Search rankings, audience growth, sales, uninterrupted third-party platforms and specific business results cannot be guaranteed. Software, stock media, fonts, integrations and other third-party materials remain subject to their own licences and charges. Backup, security monitoring, updates and ongoing support responsibilities must be agreed for the delivered system.
Business, events & consultancy
Networking and consultancy provide introductions, planning or practical support within the agreed scope. An introduction does not guarantee a contract, investment, partnership or commercial outcome. Each party is responsible for its own decisions and due diligence.
For events, the venue, suppliers, attendee numbers, permissions, safety responsibilities and cancellation arrangements should be confirmed in writing. Advice is limited to the agreed service and does not replace separately commissioned legal, tax, investment or other regulated professional advice.
Travel & hospitality
The role Shaia performs—such as planning, coordination, training or property-management support—will be specified in your agreement. A website image or service description does not mean that a particular hotel, transport service or property is owned or operated by Shaia.
Accommodation, transport and other supplier bookings depend on availability and confirmed supplier terms. We will identify relevant supplier conditions and costs before you authorise a booking. You are responsible for checking your travel documents, visas, entry requirements and personal insurance needs, unless a specific checking service has been agreed. Supplier involvement does not exclude responsibility that Shaia has under the law or its agreement with you.
Shaia Academy & training
Course content, audience, prerequisites, dates, format, venue, fees, equipment needs and any certificate arrangements will be confirmed for the relevant course. Website course descriptions do not imply accreditation, a professional qualification, guaranteed employment or a guaranteed learning outcome.
Participants must behave respectfully, follow reasonable venue and safety instructions, and use learning materials for their authorised purposes. Recording, redistributing or commercially reusing course materials requires permission. Use practice or anonymised information during AI exercises; do not upload confidential employer, customer or personal information to an external tool without authorisation. AI outputs should be checked before use in real decisions.
Intellectual property
The Shaia name, logo, website design and original content are protected by applicable intellectual-property rights. You may view the website and share links for lawful purposes. Reproduction, resale, modification or commercial reuse of protected materials requires permission or another lawful basis. Third-party rights remain with their respective owners.
Ownership and permitted use of commissioned deliverables, editable files, source code, working materials and pre-existing tools will be specified in the project agreement. These website terms do not automatically transfer ownership. You retain your rights in materials you supply and authorise their use only as needed to provide the agreed service.
Acceptable use & illustrative content
Do not use the website for fraud, harassment, unlawful activity, infringement, unsolicited bulk messages, malicious code, unauthorised access or actions that disrupt its operation. We may take proportionate steps to protect the website and its visitors from misuse.
Some images are AI-generated brand illustrations. They are not evidence of actual Shaia premises, staff, clients, managed properties or completed projects. Interface mockups are illustrative concepts. We aim to keep service information accurate and may correct errors; a correction will not retrospectively change a confirmed agreement without an appropriate basis.
Privacy & external services
Our Privacy notice explains how website enquiries and technical requests are handled. Information you provide for an engagement should be used for its agreed purpose, with any additional confidentiality or data-processing terms documented where needed.
Links to external websites, maps, tools or providers are offered for convenience. Their availability, content and terms are controlled by their operators. A link does not imply an endorsement or transfer of responsibility for obligations we have expressly undertaken.
Availability & responsibility
We take reasonable care in presenting the website, but access may be interrupted by maintenance, technical faults or external services. We do not promise that every website feature will always be available or error-free. Please contact us if you notice a problem.
Responsibility for a paid service is governed by the relevant agreement and applicable law. These terms do not exclude liability for fraud, wilful misconduct or any liability that cannot legally be excluded, and do not restrict mandatory consumer protections. No financial liability cap is imposed by these general website terms.
Events beyond reasonable control
Severe weather, public emergencies, government restrictions, infrastructure failures or other events beyond a party’s reasonable control may affect performance. The affected party should notify the other promptly and take reasonable steps to reduce disruption.
Any revised timetable, alternative arrangement, cancellation or refund will be considered under the relevant agreement and applicable law. Such events do not automatically remove payment, refund or other obligations.
Governing law & complaints
These terms are governed by the laws of India. Please first contact info@shaiamedia.com with the relevant service or booking details and the resolution you seek, so we can attempt to resolve the issue.
Disputes may be brought before a court, consumer commission or other forum with jurisdiction under applicable law. Nothing in these terms requires you to give up a statutory complaint route, mandatory legal protection or the right to approach a competent authority.
Updates & interpretation
We may update these terms and show the revised date on this page. Changes apply prospectively and do not automatically replace the terms of an existing confirmed engagement. Material changes to an ongoing service require the notice or agreement applicable to that engagement.
If a provision is held invalid or unenforceable, the remaining provisions continue to apply to the extent permitted by law. A delay in exercising a right does not by itself waive that right.
